This version updates the cookie sections of the policy to reflect the cookie banner, Google Analytics 4, and the Meta Pixel now used on antsystemz.com. Sections on cookies have been rewritten, and related wording in the sections on how we use data, who we share it with, and international transfers has been updated accordingly.
Introduction
We are committed to safeguarding the privacy of our product users and website visitors. This policy applies where we are acting as a data controller with respect to the personal data of our product users and website visitors; in other words, where we determine the purposes and means of the processing of that personal data.
Our website uses cookies. Essential cookies are set automatically because the website cannot function without them. Optional cookies, such as analytics and marketing cookies, are set only if you give your consent through the cookie banner that appears on your first visit. By using our website and services, and agreeing to this policy, you consent to our use of cookies in accordance with the terms of this policy and the preferences you select in the cookie banner.
In this policy, "we", "us" and "our" refer to Ant Systemz.
How We Use Your Personal Data
Usage Data
We may process data about your use of our website and services ("usage data"). The usage data may include your IP address, geographical location, browser type and version, operating system, referral source, length of visit, page views and website navigation paths, as well as information about the timing, frequency and pattern of your service use. Where you have consented to analytics cookies, this usage data is collected through Google Analytics 4 (see the cookies section below). Where you have consented to marketing cookies, similar visit information may be used by the Meta Pixel to measure visits and build audiences on Facebook and Instagram. Usage data is processed for the purposes of analysing the use of the website and services and improving them. The legal basis for this processing is your consent (for analytics and marketing cookies) and our legitimate interests, namely monitoring and improving our website and services.
Account Data
We may process your account data ("account data"). The account data may include your name, email address, company, phone number and billing address. The account data is provided by you directly through our forms, or by our clients on your behalf. The account data may be processed for the purposes of operating our website, providing our services, ensuring the security of our website and services, maintaining back-ups of our databases and communicating with you. The legal basis for this processing is your consent or our legitimate interests, namely the proper administration of our website, services and business, and the performance of a contract between you and us.
Profile Data
We may process information included in your personal profile on our website or services ("profile data"). The profile data may include your name, address, telephone number, email address, profile pictures, gender, date of birth, interests and website URL. The profile data may be processed for the purposes of enabling and monitoring your use of our website and services. The legal basis for this processing is your consent or our legitimate interests, namely the proper administration of our website, services and business.
Service Data and Voice Samples
We may process personal data that you provide while using our services ("service data"). The service data may include video clips, images, voice samples, audio files, metadata, file descriptions, notes, scripts and translation requests. Voice samples provided for VOIT™ services require your explicit consent for voice cloning and AI model training. The service data may be processed for the purposes of operating our services, training our AI models (VOIT™ and CRIT™) using anonymised information, ensuring the security of our services, maintaining back-ups and communicating with you. The legal basis for this processing is your implicit or explicit consent or our legitimate interests, namely the proper delivery of our services.
Legal and Compliance Data
We may process any of your personal data identified in this policy where necessary for the establishment, exercise or defence of legal claims, whether in court proceedings or in an administrative or out-of-court procedure. We may also process your personal data where necessary for obtaining or maintaining insurance coverage, managing risks or obtaining professional advice. The legal basis for this processing is our legitimate interests, namely the protection and assertion of our legal rights and the proper management of our business.
Please do not supply any other person's personal data to us unless we have requested it or you have that person's permission to do so.
Providing Your Personal Data to Others
We may disclose your personal data to any member of our group of companies insofar as reasonably necessary for the purposes, and on the legal bases, set out in this policy.
We may disclose your personal data to our insurers and professional advisers insofar as reasonably necessary for the purposes of obtaining or maintaining insurance coverage, managing risks, obtaining professional advice, or the establishment, exercise or defence of legal claims.
In addition to the specific disclosures set out in this section, we may disclose your personal data where such disclosure is necessary for compliance with a legal obligation to which we are subject, or in order to protect your vital interests or the vital interests of another natural person.
Website Analytics and Marketing Providers
The only exception to the above concerns our website cookies. These tools are loaded through Google Tag Manager, and only after you allow the matching category in the cookie banner. Where you consent to analytics cookies, limited website usage data (such as pages visited, device and browser information, approximate location derived from a truncated IP address, and a randomly generated cookie identifier) is transmitted to Google LLC and its affiliates, who provide the Google Analytics 4 service and act as our processor. Google's privacy policy is available at https://policies.google.com/privacy. Where you consent to marketing cookies, visit information is transmitted to Meta Platforms, Inc., which provides the Meta Pixel used to measure visits and build audiences on Facebook and Instagram. Meta's privacy policy is available at https://www.facebook.com/privacy/policy/. Neither provider receives your account data, profile data, service data or voice samples. The cookie banner itself is part of this website. We do not send your consent choice to a separate consent company.
International Transfers of Your Personal Data
In this section, we provide information about the circumstances in which your personal data may be transferred to countries outside the European Economic Area (EEA).
Ant Systemz is based in India with offices and facilities located in India, the United States and other countries. Transfers to India will be protected by appropriate safeguards, namely the use of standard data protection clauses adopted or approved by the European Commission, a copy of which can be obtained from https://gdpr.eu/.
The hosting facilities for our website and services are situated in India on our proprietary infrastructure. Transfers will be protected by appropriate safeguards.
Where you consent to analytics cookies, usage data collected by Google Analytics 4 may be processed by Google on servers located in the United States and other countries outside India and the EEA. Such transfers are protected by Google's standard data protection clauses and, for the EEA, the EU-US Data Privacy Framework. Where you consent to marketing cookies, information collected by the Meta Pixel may likewise be processed by Meta on servers outside India and the EEA, under Meta's standard contractual clauses.
You acknowledge that personal data that you submit for publication through our website or services may be available, via the internet, around the world. We cannot prevent the use (or misuse) of such personal data by others.
Retaining and Deleting Personal Data
This section sets out our data retention policies and procedure, which are designed to help ensure that we comply with our legal obligations in relation to the retention and deletion of personal data.
Personal data that we process for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes.
We will retain your personal data as follows:
- Usage data, account data and profile data will be retained for a minimum of one year following its creation and a maximum of seven years following cessation of your relationship with us or deletion of your account.
- Service data, voice samples and voice clones will be retained for the duration of your active projects and services. After project completion or account deletion, service data will be retained for 90 days. Voice clones are retained for future use unless you request deletion.
- Billing and payment data will be retained for seven years (tax and legal requirements).
- Cookie data is retained for the periods set out in the cookie table below. Your cookie choice is stored in your browser and remembered on later visits until you change it.
- Notwithstanding the other provisions of this section, we may retain your personal data where such retention is necessary for compliance with a legal obligation to which we are subject, or in order to protect your vital interests or the vital interests of another natural person.
Amendments
We may update this policy from time to time by publishing a new version on our website. You should check this page occasionally to ensure you are satisfied with any changes to this policy. Your continued use of this website following any such changes shall constitute your acceptance of such changes. Where a change affects the cookies we use, the cookie banner and the cookie table in this policy will be updated at the same time.
